As Julie's practice continues to grow, she is looking for a part-time remote Administrative Assistant to help manage the behind-the-scenes operations so she can stay focused on her clients and their children.

Key Responsibilities
Scheduling & Calendar Management
- Coordinate scheduling for client consultations, IEP/504 meetings, SST conferences, and school district appointments
- Manage Julie’s calendar to avoid conflicts and ensure adequate prep time before meetings
- Send appointment confirmations and reminders to clients via email
- Track meeting attendance and follow-up timelines for active cases
Client & Family Communications
- Follow Up initial inquiries from prospective families in a warm, professional tone
- Manage HoneyBook or email intake: answer questions on service guides, onboarding info, and package details
- Follow up with existing clients on outstanding documents, signatures, or next steps
- Route urgent client concerns to Julie promptly
Bookkeeping Support
- Track client payments, prepaid packages, and outstanding invoices
- Reconcile income records and flag discrepancies
Document Review & Organization
- Organize and maintain digital client files (IEPs, 504 plans, assessments, correspondence)
- Review incoming school documents for completeness and flag missing items
- Maintain and update resources, templates, and intake forms on an ongoing basis
- Help keep the Shopify shop and digital product files organized
What We’re Looking For
- Experience in an administrative, office, or executive assistant role
- Excellent written communication — warm, clear, and professional
- Strong organizational skills and attention to detail, especially when handling sensitive family information
- Comfortable with tools like Google Workspace, HoneyBook, and Shopify (or eager to learn)
- Discretion and empathy — you’ll be working with families in often stressful situations
- Self-motivated and reliable — able to manage tasks independently in a remote environment
- Familiarity with special education terminology (IEP, 504, IDEA, etc.) is a bonus but not required
